Senior Trust Operations Specialist – Trust Services Group

Role
The Senior Trust Operations Specialist is responsible for providing service and support for all Trust Services operational activities including cashiering, tax reporting, trust accounting, reconciliations, account opening/closing, asset transfers and systems management. The Specialist will be responsible for the daily input, maintenance and review of trust records. The Specialist will help drive process improvement and automation for TSG and will assist with the overall coordination of TSG Operations workflow to ensure efficient use of resources to meet time sensitive deadlines. The role reports to the Head of Trust Services.
Responsibilities
- Perform complex account and security maintenance and transaction requests related to core/critical team functions.
- Monitor, prepare and process all billing, disbursements, and money movement within the trust accounting system and WealthHub.
- Reconciles transactions entered into various Trust processing applications to support wires, ACH, deposit accounts and general ledger processing.
- Assist with account onboarding process including correct identifying documentation from necessary parties has been provided, paperwork is fully filled out and assisting with processing background, informational, and required regulatory checks.
- Prepares financial information for regulators, finance and senior leadership.
- Maintain existing and support establishment of new custodian account and data feeds.
- Security setup review
- Direct the establishment of new unique or alternative investments in the trust accounting system and post and maintain full transaction and valuation ledgers with the accounting system.
- Responsible for departmental reporting of IRS forms. Establish account master coding and cross reference records for eligible accounts for tax processing in trust accounting system.
- Monitor vendor relationships to ensure maximum vendor performance and compliance with established service levels and policies.
- Identifies and leads team specific projects and initiatives. Recommends and implements process changes to improve services and systems.
- Maintain compliance with all applicable regulations.
Qualifications
- 3 – 5 years of Trust, securities or wealth management operations experience strongly preferred.
- Strong, interworking knowledge and understanding of different security types as well as how they trade, settle and are treated for tax reporting.
- Ability to process work accurately, recognize and research potential problems arising in daily duties.
- Advanced proficiency with Microsoft Outlook and Excel
- Project management experience preferred.
- Salesforce experience a plus.
- Excellent written and verbal communication skills.
- Ability to handle multiple competing priorities and organize tasks effectively.
- Works well independently and as part of a team.

The Trust and Estates Legal Administrative Assistant is a key member of the Trust and Estates Administration Team and will report to the Practice Coordinator. The ideal candidate should be an individual who is a team player, enjoys a fast-paced demanding environment, has the ability to multi-task, is well-organized, has great time management skills, is proficient with technology, and maintains a positive attitude.
RESPONSIBILITIES:
- In this position, you will be a top caliber professional who provides a high level of administrative support for a Director in our Newington, NH office. You will also act in a support role as part of a larger team that includes two additional Directors. You will interact with Ultra High Net Worth clients, advisers, firm attorneys, colleagues, and other stakeholders.
- Must be highly organized to ensure Director’s priorities and organizational goals are met, while firm’s best-practices are upheld.
- Must possess the ability to work well in a fast-paced environment, while managing and balancing multiple tasks. You must demonstrate problem-solving abilities and take initiative in finding workable solutions to complex issues.
- Must have effective communication skills and be a flexible team player that is willing to adapt to changes and challenges. You must also be an independent thinker.
- Must maintain a high-level of client service and confidentiality.
- Responsible for professionally answering and directing all incoming calls on attorneys’ direct line.
- Ability to comprehend complex materials and verbal instructions.
- Utilize software to track and follow up on the status of ongoing matters
- Work with a team on various tasks that include processing mail, reviewing executed documents for vaulting, serving as a witness during estate planning signings, time-entry, billing, and all other legal administrative duties as assigned.
- This position will be full-time in our Newington, NH office and the ability to work from home one day a week after six months of employment.
EXPERIENCE, SKILLS, QUALIFICATIONS:
- High School Diploma or equivalent.
- 5+ years of legal admin experience, Trust & Estates experience a plus.
- Superior attention to detail.
- Excellent written and oral business communication skills.
- Strong Microsoft Office (Excel, Word and PowerPoint)
